Athens Rotary Club Board Meeting Agenda

Call to Order:     Emilia Alonso-Sameño
Meeting called to order at 11:10 am. The following board members were present: Emilia Alonso-Sameno, Ed Peterson, Dave Diggle, Cita Strauss, Brandon Elliot, Tara Gilts and Mike Noel (via phone)  
Secretary’s Report:        Edward Peterson  
  • Minutes from March meeting were accepted. Dave Diggle made the motion to accept and Emilia seconded it with unanimous approval.
Treasurer’s Report:        Dave Diggle
  • Monthly Budget Update was accepted. Ed Peterson made the motion to accept and Tara Gilts seconded with unanimous approval. The report is included at the end of the minutes.
  • Specific points of discussion on the report:
    • Quarterly invoices have been sent for the 4th quarter of FY 2016/17.  As a result, the financial report shows $16,640.50 in outstanding member accounts.  This is normal for the beginning of a quarter and of this amount, about $1000 is carried over from last quarter most of which is deemed collectable.
    • Tom Erlenwein will be contacted by Tom Gibbs to determine if he is still interested in maintaining his membership.
    • Dave Diggle remarked that he felt that the lunches provided were not meeting the contract terms of 2 full dinners, one stuffed potato type meal and one cold cuts sandwich meal per month. He has had discussions with the Inn.
    • Mike Noel suggested options to reduce the cost of meals as a way to encourage more interest in joining the club. These included having only 2 sit down lunches and substituting other activities that would be more family-oriented, especially those with small children.
    • It was agreed that Mike Noel would form a committee to discuss options and would report to the board at a future meeting. Some ideas for the committee suggested were to survey the membership to determine preferences and to plan more multi-club events with the sponsorship rotating among the local clubs.

Club Service Report:                  Tara Gilts
  • Tour/Tasting at Devil’s Kettle has been put on hold due to the lack of communication from the brewery.
  • Tara Gilts mentioned that the Sunrise club is planning a Pints for Polio happy hour event on 5/3 at the Eclipse. The Eclipse will donate $1 per beer ordered to Rotary's efforts to eradicate polio. The Sunrise club is planning to repeat the effort monthly at various locals and to benefit other charities. Tara will budget funds for appetizers for our club members who attend.
  • Mike Noel offered that he has had discussions with the other incoming local club presidents and there was agreement on organizing a once per quarter function for all three local clubs with each club taking a turn sponsoring the event.
  • An effort will be made to schedule the Copperheads game earlier this year to hopefully have cooler weather.
Community Service Report:        Tom Pyle
  • No report
International Service Report:        Cita Strauss
  • There is nothing new to report on the short term outbound student.
  • Cita Strauss will be stepping down from her post after next year and Emilia offered that she would be interested in taking over the position once she has completed her term as past president.
  • Brandon Elliot agreed to seek additional information on the District's  $24k scholarship for students traveling abroad.  There was little clarity on what the District was offering.
New Generations Report:           Brandon Elliot
  • Interact students volunteered at the Race for a Reason.
  • Rotaract was all but inactive this past year. Brandon Elliot expects the new president, Quan Li, to be more proactive. The area of international activity seems to be of interest, especially to the international students, and Brandon is hoping this will reactivate the membership.

  • 125 Club
    • This initiative is meant to encourage members to give $100/yr to the Rotary Foundation and an additional $25/yr to Polio Plus.
    • Since many members currently make donations a targeted effort is needed to identify who should be approached on a 1 to 1 basis.
    • Mike Noel, Sarah Gilts  and Emilia Alonso-Sameno will work together to develop a recommendation for the board to consider.
  • Jackie Collins' report/update on our grants
    • Jackie Collins has submitted the paperwork to the District requesting a grant for Raj's Koshal's water purification project. The District response has been positive.  
  • Board meeting in May – Wednesday, May 3
  • Board meeting in June – Tuesday, June 6
    • Cita Strauss has agreed to scribe for this meeting, as Ed Peterson will be out of town.

  • Update on District Conference
    • Mike Noel reported that 4 club members attended the conference: Mike Noel, Brandon Elliot, Jackie Collins and Michelle Wilson.
    • The meeting was informative and helpful.
