  Athens Noon Rotary Club Board Meeting Minutes

Members present: Emilia Alonso, Dave Diggle, Mike Noel, Brandon Elliott, Cita Strauss, Ed Peterson

  • Minutes from January meeting were accepted by motion made by Emilia and seconded by Mike
Treasurer’s Report:        Dave Diggle
  • Monthly Budget Update is attached. The reports were accepted by motion made by Cita and seconded by Mike.
Vocational Service Report:         Tom Gibbs

Club Service Report:                  Tara Gilts
Not present. Upcoming service opportunities include staffing a water station during the Athens Marathon. Our club will be able to work the water station with Interact club members. Tara will pass a signup sheet at upcoming meetings.
Community Service Report:        Tom Pyle
Not present
International Service Report:        Cita Strauss
Brandon will work with Cita to schedule the outbound and inbound students to attend the same meeting to talk about their experiences.
New Generations Report:           Brandon Elliot
Meeting Scheduled Feb 2 to discuss RYLA event and application process.  Will review activities and designate spring activities.  Will request some of the students to attend with the Rotaract.  Website updated.  Application is not yet available.  Approval from Jen Stotts, Athens Sunrise Club to meet with the Nelsonville club to vet RYLA applications.  
Request for members to attend Feb 27th meeting with International Travel Speaker.  
No feedback received from Anthony to attend spring events. Email sent requesting follow up on Feb 1.  
Spring activities being discussed with Interact to increase community involvement.  (Hikes, clean up days, club events are being organized with the group.) 
Request to Board Feb 1 for funds to send 2 members from the county schools.  Feb 2 Meeting with Athens High to discuss the application process.    
Rotary Youth Exchange
We are just doing short-term exchanges at this time.

  • Permission for fundraising event during club meeting
Passing an envelope at meetings to ask for donations for a school in Chucuito, Peru was discussed. There was push back against passing envelopes during our meetings as the quarterly donation to the RI was intended to supersede this fundraising technique. This issue was tabled and Emilia was tasked to approach the Foundation for a matching grant at their next meeting. The Athens Rotary Foundation (ARF) was created in part to stop the constant requests for local money; that's why we don't pass envelopes unless circumstances are unusual, e.g. Thanksgiving Baskets, Good Works Dinner, etc.  The club contributes to the ARF each year to preclude the "envelope."  This year it was $4000.
Emilia agreed to talk to Sarah and Michelle concerning the procedures to be followed when making an announcement of a club related fund raiser. Their Yard Sale plan needs to be approved by the board. This will be handled during the next week.( As of 2/13 the board has been asked to give their approval by email vote.)  
  • Jackie’s report/update on our grants report will be made at an upcoming meeting.
President Elect Comments:        Mike Noel
  • Gift cards to speakers was not discussed at this meeting.
  • Mike and Brandon will be attending PEI Training. A significant issue discussed was the Rotary Foundation contribution level that the president commits the club to achieve. The concern was that the level has been set too high in the past and we were not able to reach the goal. The president should discuss appropriate commitment levels with Dave and Sara as they are most familiar with the giving levels that the club has achieved lately. 
  • Curt DeVoe track scholarship
The last recipient of this track scholarship has not yet received the $400 scholarship and has been asking when they can expect the proceeds. As of now the Rotary Foundation will provide the funds and Mike will follow up to ensure the recipient receives the award.
The DeVoe family has declined to continue funding the scholarship so the options discussed were to:
  1. Change the name to the Rotary Track Scholarship
  2. Attempt to find a new sponsor
  3. Cancel the scholarship.
Mike will follow up with the Foundation and with Athens HS concerning the future of the scholarship.
